The Algoma District School Board invites qualified applicants to apply for the position of Human
Resources Confidential Secretary.
Reporting to the Manager and Superintendent of Human Resources, the Human Resources Confidential
Secretary is responsible for completing tasks, providing assistance, and delivering operational
support to the Human Resources Department. The Human Resources Confidential Secretary will work in
a team environment, fostering positive relationships with staff and stakeholders, operating with a
high level of confidentiality, discretion, and professionalism.
Summary
• Maintains the Human Resources Information System to ensure accuracy and
confidentiality.
• Establishes and maintains efficient filing systems for records, documents and Human Resources
files.
• Supports recruitment and staffing processes by contacting candidates, scheduling interviews and
completing reference checks.
• Assists with onboarding and orientation of new hires.
• Maintains reports and verifies teacher experience, teacher category changes, and seniority lists
using reports generated from the Human Resources Information System.
• Prepares letters of Permission and letters of Approval through the Ministry of
Education.
• Provides assistance to school administrator and school secretaries to ensure that personnel
information is accurate.
• Maintains grievance logs for employee groups.
• Completes general office duties and other tasks as assigned.
Qualifications
• Post-Secondary Diploma in Office Administration (or equivalent)
• Two years clerical experience
• Clerical experience within the education system will be considered an asset
• Exemplary oral and written communication skills
• Strong interpersonal skills, with the ability to build relationships
• Exceptional organizational skills and attention to detail
• Excellent computer skills (e.g. Microsoft Office: Outlook, Word, Excel, PowerPoint, Forms,
TEAMS)
• Demonstrated problem-solving abilities and a proactive approach to tasks
• Demonstrated initiative and ability to work independently and collaboratively in a team-oriented
environment
Salary
$55,219 to $69,024
Location and Hours of Work
Algoma District School Board, Education Centre – Sault Ste. Marie Monday to Friday – 35 hours per
week.
