The District of Sault Ste. Marie Social Services Administration Board is searching for an energetic and enthusiastic individual to join our team based in Sault Ste. Marie as an Administrative Clerk within our Corporate Services division. The Administrative Clerk maintains statistical and financial records to ensure accountability and responsibility within the Finance Division for both the District of Sault Ste. Marie Social Services Administration Board (DSSMSSAB) and the Sault Ste. Marie Housing Corporation (SSMHC).

Key duties and responsibilities include:
• Prepare and follow up with contract orders, documents and change orders;
• Communicate with clients and third parties, as required, to ensure collections on overdue accounts;
• Routinely liaise with financial institutions, legal representatives, government agencies and vendors in carrying out assigned work;
• Prepare the yearly contractor rotational schedule;
• Receive and distribute incoming mail and assist in the preparation of outgoing mail and interoffice correspondence;
• Purchase finance office supplies and maintain office inventory;
• Provide administrative support to the RFP process led by the Capital Works Coordinator.
• Prepare and reconcile daily manual cheques, cancel cheques, and process daily pay list;
• Generate daily and monthly cheques and direct deposit statements;
• Ensure timely vendor payments;
• Reconcile manual payment lists with cheque registers;
• Maintain petty cash fund; reconcile, verify and authorize;
• Review, process and collect EI, CPP, OSAP, WSIB assignments, and client travel grants; follow up on overdue assignments;
• Validate overpayments and forward correspondence to clients;
• Process file transfers and issuance of replacement T5007s;
• Generate daily direct bank deposit reports and correspond with financial institutions on stop payments and direct bank recalls;
• Prepare monthly rent supplement landlord statements;
• Assist in the preparation of month end, year-end and audit preparation.
• Knowledge of the Occupational Health and Safety Act and worker responsibilities.

Qualifications:
The successful candidate will have the ability to communicate in an effective and tactful manner, contribute routinely as a team member, organize time to maximize contribution and possess a sound knowledge of the Microsoft Office environment. Additional qualifications for this position include:

• Completion of a post-secondary diploma in accounting or a related field; and
• A minimum of six (6) months experience at an administrative or accounting clerk level
• Proficient in both official languages is an asset.
